It has not been possible to digitise a reading for a module - what can a module convenor do?

Library staff are unable to digitise a chapter or article if:

  • it is available in the library as an e-book or e-journal
    • Academic staff or module convenors are advised to check the library catalogue Primo to find out if a book or journal is already available from the library's electronic collections before making any request.
  • it is published in a country that is not covered by the licence
  • it is published by a publisher who has not signed up to the licence

Digitisation may also not be possible due to restrictions set by the Copyright Licensing Agency's Higher Education (CLA HE) licence.

Some categories of works are not covered by any of CLA's licences and include the following:
• printed music (including the words)
• maps and charts
• newspapers
• workbooks, workcards or assignment sheets

In addition to this, there are works that are expressly excluded by the copyright owners themselves (author or visual artist) and excluded by the publisher.

You can check which works are excluded directly by the author or the visual artist here.

You can check which works are excluded by the publisher for the CLA HE licence here (listed alphabetically).

Where items are not available for digitising through the CLA licence, library staff will contact academic staff and discuss whether there are any alternative solutions, such as placing existing library materials in the Short Loan Collection or choosing another reading.

Other reasons and possible solutions can be seen below:

Reason digitisation has not been possible

Solution

The book publisher will not permit scanning a chapter (excluded)

Library staff will check and inform if you can photocopy the extract under the CLA check permissions tool. Please note, that photocopying could also be excluded as an option.

For works listed as excluded, you could contact copyright owners directly for permission prior to copying. In the first instance this would usually be the publisher.

Your request has exceeded the 10% extent limit under the CLA licence

Library staff will contact you to request a smaller section or select another extract.

If the Library does not hold the requested article in print, we attempt to acquire a copyright fee copy from the British Library (BL). Please note, occasionally an article may not be available from the BL also.

Library staff will contact you to discuss alternative solutions.
