How do I make my calendar appointments private? (Outlook)

If you are sharing your calendar with colleagues (How do I do that?) you may wish to make certain appointments 'private' - i.e. so colleagues viewing your calendar can see that you are unavailable but not what your actual appointment is.

  • Go to calendar in Outlook via the button on the bottom left of the window
  • Click the New Appointment button if you are creating a new appointment or double click on an existing appointment if you wish to make that private.

  • For new appointments - fill in the date, time, subject, location and description fields (only date and time are compulsory)
  • Click the Private button (in the top right hand side) to make the appointment private
  • Click Save & Close button to save the appointment and close the window
  • Your colleagues will now only be able to see you have an appointment but not the detaisl of that appointment.
